1099 Reporting & E-Filing
Track contractor payments, generate 1099-NEC forms, and e-file to the IRS through TaxBandits -- all from within Kantivo.
Getting Started with 1099s
The 1099 Center is located in the sidebar under the Reports section. It provides a central hub for managing all aspects of 1099-NEC reporting:
- Dashboard -- Overview of vendor payments and $600 threshold status
- Vendor Setup -- Configure which vendors are 1099-eligible
- Generated Forms -- View and manage created 1099-NEC forms
- Payer Settings -- Your business info and TaxBandits credentials
Use the Tax Year dropdown at the top to switch between years.
Marking Vendors as 1099-Eligible
Before generating forms, you need to identify which vendors require 1099 reporting:
- Go to 1099 Center and select the Vendor Setup tab
- For each vendor who is an independent contractor or service provider:
- Toggle 1099 Eligible to Yes
- Enter their TIN (SSN or EIN)
- Select the TIN Type (SSN for individuals, EIN for businesses)
- Check W-9 Received if you have their W-9 on file
- Click Save to store the changes
Configuring Payer Information
Your business information appears on every 1099 form as the payer. Set this up once:
- Go to 1099 Center → Payer Settings
- Enter your business name, EIN, and mailing address
- Optionally add a DBA name on line 2 and a phone number
- Click Save Payer Settings
Generating 1099-NEC Forms
Kantivo calculates Box 1 (nonemployee compensation) automatically from bill payments recorded during the tax year:
- Go to the Dashboard tab in the 1099 Center
- Review the vendor list and payment totals
- Click Generate All 1099s to create forms for all eligible vendors above $600, or click the generate button next to individual vendors
- Forms appear in the Generated Forms tab
If vendor payments change, simply regenerate -- Kantivo will update the existing form with the new amount.
Setting Up TaxBandits E-Filing
To e-file 1099s with the IRS, you need a TaxBandits account:
- Register for a free sandbox account at sandbox.taxbandits.com (for testing) or taxbandits.com (for production)
- In TaxBandits, go to Settings → API Credentials
- Copy your Client ID, Client Secret, and User Token
- In Kantivo, go to 1099 Center → Payer Settings and scroll to the TaxBandits section
- Select Sandbox or Production environment
- Paste your three credentials and click Save Credentials
- Click Test Connection to verify
- Click Register Business with TaxBandits to link your payer information
Submitting Forms to TaxBandits
Once forms are generated and TaxBandits is connected:
- Go to the Generated Forms tab
- Click Submit All to TaxBandits
- Kantivo sends all generated forms to TaxBandits and stores the submission ID
- Form status changes from "Generated" to "Submitted"
At this point, forms are in TaxBandits but not yet filed with the IRS. You can review draft PDFs before transmitting.
Transmitting to the IRS
When you are satisfied with the submitted forms:
- Click Transmit to IRS on the Generated Forms tab
- Confirm the action (forms cannot be edited after transmission)
- Kantivo files through IRS IRIS, which typically returns a response within 6 hours
- Form status updates to "Filed"
Checking IRS Filing Status
After transmitting, monitor acceptance:
- Click Refresh IRS Status on the Generated Forms tab
- Each form shows its current IRS status:
- CREATED -- Form exists locally, not yet submitted
- TRANSMITTED -- Sent to IRS, awaiting processing
- SENT TO AGENCY -- IRS received, under review
- ACCEPTED -- IRS approved the filing
- REJECTED -- IRS returned with errors (correct and retransmit)
Downloading PDF Copies
PDF copies are available at two stages:
- Draft PDF -- Available after submitting to TaxBandits. Watermarked "DRAFT - DO NOT FILE." Use for review before transmitting.
- Filed PDF -- Available after IRS accepts the filing. Includes Copy B (recipient), Copy C (payer), and Copy 1 (state).
Click the PDF or Filed button next to any form in the Generated Forms table to download.
Tips & Best Practices
- $600 Threshold: The IRS requires a 1099-NEC for any vendor paid $600 or more in a calendar year. Kantivo tracks this automatically, but you can still generate forms for vendors below the threshold if desired.
- Collect W-9s Early: Request a W-9 from every new contractor before making the first payment. This avoids the year-end chase for missing TINs.
- Verify TINs: Incorrect TINs are the #1 cause of IRS rejections. Double-check TIN entries against the vendor's W-9.
- File Early: The IRS deadline for 1099-NEC is January 31. File early to avoid penalties and give yourself time to correct rejections.
- Keep Records: Download and save PDF copies of all filed forms for your records. Kantivo stores them locally, but having backups is always wise.
