Invoice Branding
Make every invoice, estimate, and receipt look like it came from your business — logo, colors, layout, and the small print under your control.
Logo
Your logo is the first thing the customer sees on every document Kantivo generates. Adding it takes seconds:
- Open Settings → Invoice Branding
- Click Upload Logo
- Pick a PNG, JPG, or SVG file
- The live preview redraws so you can confirm it sits right
Color Palette
Two color settings drive the rest of the document — headers, borders, totals row, accent details:
- Primary — header band, section titles, primary labels. Use your main brand color here.
- Accent — highlights, total amounts, decorative rules. A complementary shade.
Type a hex value (e.g. #2563eb) or use the built-in color picker to grab something visually.
Layout Templates
Kantivo ships four layouts. Each presents the same billing data with a different visual personality — pick the one that fits your industry's expectations.

Switch templates in Settings → Invoice Branding. Each one shows a live preview before you commit.
Show/Hide Fields
Not every invoice needs every business detail on it. Toggle individual fields off when they're not relevant:
- Phone — show or hide
- Email — show or hide
- Tax ID / VAT — required in some jurisdictions, optional in others
- Company registration number — for businesses where this needs to appear on commercial documents
- Website
Toggles apply to future invoices only — already-generated PDFs aren't retroactively changed.
Custom Text
Four free-text fields let you control the language on every document:
Payment Instructions
Tell the customer exactly how to pay. ACH details, accepted card types, a link to a checkout portal — whatever you want them to do next.
Terms & Conditions
Your standard payment terms (Net 15, Net 30, Net 60), late fee policy, and any service-specific conditions you want on the record. Prints on every invoice.
Thank-You Message
A short closing — "Thanks for the work this month," "We appreciate your business," whatever fits the relationship. Small touch, big perception lift.
Footer
Reserved for legal disclaimers, refund policy text, or regulatory notices that have to appear on billing documents in your jurisdiction.
Per-Company Branding
Each company in your Kantivo install has its own independent branding configuration: logo, colors, template, visibility toggles, and custom text. Switching active companies loads that entity's settings automatically — Acme LLC's invoices stay Acme LLC's invoices, and your second business doesn't accidentally inherit them.
