Scheduled Tasks

Stay ahead of every accounting deadline with Kantivo's built-in task scheduler -- designed for professional accountants managing multiple companies.

Overview

The Scheduled Tasks feature gives you a dedicated space to manage deadlines, reminders, and recurring obligations tied to your bookkeeping. Each company you manage maintains its own separate task list, ensuring nothing gets mixed up when you handle multiple businesses.

Highlights of the task scheduler:

Creating Tasks

  1. Open Settings from the navigation panel
  2. Choose Scheduled Tasks
  3. Press the Add Task button
  4. Populate the form with the relevant details:
    • Title - A concise label for the obligation (for example, "File Quarterly Sales Tax")
    • Description - Any supplementary notes you want to attach (this field is optional)
    • Due Date - The target date for completion
    • Priority - Select High, Medium, or Low
    • Recurrence - Pick from None, Daily, Weekly, Monthly, Quarterly, or Annually
  5. Press Save Task to store it
Ideas for tasks worth scheduling: Estimated tax payments each quarter, bank statement reconciliations every month, payroll runs on a biweekly cadence, year-end 1099 preparation, periodic sales tax submissions, and W-2 mailing deadlines.

Recurring Tasks

When an obligation repeats on a predictable cycle, assign a recurrence pattern at creation time:

As soon as you mark a recurring task as finished, Kantivo automatically generates the next instance following your defined schedule. No manual re-creation needed.

Example: Monthly Bank Reconciliation

  1. Add a task titled "Reconcile Bank Statement"
  2. Set the due date to the 5th of the current month
  3. Choose Monthly as the recurrence
  4. Each time you complete the reconciliation task, a fresh one appears for the following month

Each task is presented as an individual card containing:

Completing Tasks

  1. Press the Complete button displayed on the task card
  2. The item transitions to a completed state
  3. For recurring items, the next occurrence is automatically queued up

Editing Tasks

  1. Press the Edit button on the relevant task card
  2. Adjust whichever fields need changing
  3. Press Save to apply your modifications

Deleting Tasks

  1. Press the Delete button on the task card you wish to remove
  2. Confirm your decision in the dialog that appears
Note: When you delete a recurring task, the entire series is removed -- not just the current instance. If you only want to skip one occurrence, consider marking it complete instead.

Task History

Every task you finish is preserved in your local task history, giving you a record of completed work over time. You can review this log anytime from within the Scheduled Tasks section to track your consistency across months or years.
