Memorized Reports — Configure Once, Run Forever

Save any report exactly the way you want it — filters, dates, accounts, dimensions, sales rep — and re-run it with one click. Date presets like "Last Month" or "YTD" resolve fresh each time, so the period is always right.

Stop Rebuilding the Same Report Every Month

Every accountant and business owner has a handful of reports they pull on repeat. The month-end P&L filtered to the operating division. The YTD Trial Balance for the CFO. The Sales by Customer report for last quarter to spot trends. Building each one from scratch every time means clicking through the same filters, dates, and account selections over and over.

Memorized Reports fixes that. Configure the report exactly once, click 💾 Memorize, give it a name, and it's saved for one-click re-runs. Even better — the dates resolve fresh each time the report runs, so "Last Month" in May shows April, in August shows July, and you never have to touch the date pickers again.

1

Run Any Report

Income Statement, Balance Sheet, AR Aging, Cash Flow, or the Custom Report Builder. Set the filters and dates exactly the way you want them.

2

Click 💾 Memorize

Give the saved report a name. Drop it in a folder. Optionally share it with everyone in the company.

3

Re-Run With One Click

Open the Memorized Reports panel and click the report. Every filter applies automatically. Date presets resolve to the current period.

📅 14 Date Presets

Today, Yesterday, This/Last Week, This/Last Month, This/Last Quarter, This Year, YTD, Last Year, Fiscal YTD, Last Fiscal Year, plus Custom. Each preset resolves to the correct date range every time the report runs.

  • Fiscal-year aware (respects company year-end)
  • "Last Month" in May resolves to April; in August to July
  • "Last Fiscal Year" handles non-calendar fiscal years correctly
  • Available on every standard report and the Custom Report Builder

📁 Folders for Organization

Group your memorized reports into folders. A "Month-End Pack" folder might contain P&L by Class, AR Aging, and Cash Flow. A "Quarterly Reviews" folder holds the deeper analyses your investors expect.

  • Unlimited folders per user
  • Rename, move, or delete folders without losing reports
  • Reports inside a deleted folder fall back to top-level
  • Visual tree view on the Reports page

👥 Private or Shared

Reports are private by default — only you see them. Toggle "Share with company" and the report appears in everyone's list under a Shared by Company section, separate from your personal reports.

  • Per-user lists for personal workflows
  • Shared folders for team-wide reporting standards
  • Each user controls their own personal section
  • Anyone in the company can edit shared reports

🎯 Every Filter Saved

Memorize captures the complete report state — date range or preset, account selections, class and location filters, custom dimension filters, sales rep filter, accounting method override. Re-running is bit-for-bit identical to the first run.

  • Filters on standard reports and the Custom Report Builder
  • Account selection saved on the Custom Report Builder
  • Last-run timestamp updates each time
  • Edit a saved report to rename or move it

Works on Every Report That Matters

The Memorize button appears on the Income Statement, Balance Sheet, Trial Balance, General Ledger, AR Aging, AP Aging, Cash Flow Statement, Sales by Customer, and the Custom Report Builder. Anything you can configure, you can save. Click any saved report on the Reports page and it runs immediately with every saved filter applied.

Built for Recurring Reporting Workflows

If your month-end checklist includes pulling the same five reports every single month, Memorized Reports turns each one into a single click. If your CFO asks for the same quarterly snapshot every three months, you save it once and run it on the same date next quarter — the date preset takes care of itself. The 30 minutes saved per close adds up over a year.

Frequently Asked Questions

Does the saved report re-run with the original dates or the current dates?

Depends on what you saved. If you picked a date preset like "Last Month" or "YTD", the preset key is saved (not the resolved dates), so the report runs with the current period each time. If you picked custom dates, those exact dates are saved and the report always runs against that fixed window.

Which reports can be memorized?

Income Statement, Balance Sheet, Trial Balance, General Ledger, AR Aging, AP Aging, Cash Flow, Sales by Customer, Undeposited Funds, and the Custom Report Builder. The Memorize button appears on each report's screen once it has run.

Does memorizing also save the column layout, sort order, and display options?

Memorized Reports saves the inputs to the report (filters, dates, accounts, dimensions). The output rendering follows whatever the current report engine produces. If Kantivo improves a report's layout later, your memorized reports benefit automatically.

Can I share a memorized report with my accountant?

Toggle "Share with company" on the report and anyone with access to the company sees it in the Shared by Company section. If your accountant has access to your books, that includes them.

What if the date range I want isn't in the presets?

Pick "Custom Range" from the preset dropdown and enter the exact dates. They're saved as-is, so the same dates print every re-run.

Can I memorize a report with custom dimension filters?

Yes. If your company has custom dimensions enabled (Project, Booking, etc.), those filters are saved with the memorized report. The Custom Report Builder also memorizes account selections plus all dimension and sales rep filters.
